Description :

  • Ensure timely, completeness and accuracy of monthly Payroll.
  • Ensure monthly and annual (where applicable) statutory submissions - EPF, SOCSO, Income Tax, HRDF.
  • Carry out Recruitment efficiently and effectively to fulfil the Company’s Manpower Plan in a timely manner.
  • Prepare correspondences relating to employment such as announcement memos, employment contracts, statutory correspondences, PDPA letters, Employee NDA, termination letters, Acceptance of Resignation letters, Confirmation Letters, Employee Bond agreement, Employee Education Assistance agreement, etc.
  • Prepare Employee details / reports as and when required by Management, Internal and External Auditors.
  • Prepare HR, IT and Admin weekly status report.
  • Extract Employee attendance record from biometrics system, and prepare Attendance Report in accordance with Management’s requirements - format and deadlines.
  • Ensure compliance to legal, contractual and statutory requirements on Human Resource practices within the Company.
  • Attend to grievances / disciplinary matters in accordance with law of Natural Justice and Company’s policy – prepare Reminder / Warning / Show Cause / Notice of Inquiry / Appointment of Panel letters.
  • Organise and assist in Due/Domestic Inquiries and conduct Employee counselling.
  • Ensure IT and other office facilities are available and running smoothly.
  • Ensure office accessibility by Employees, safety, security and cleanliness at all times.
  • Ensure Employees’ and general insurance claims processing & renewal are timely.
  • Organize / conduct training sessions and ensure training assessments are completed by Employees.
  • Work closely with insurance broker, analyse tabulations and ensure comparisons are made accordingly before tabling to VP, HR and Admin.
  • Obtain relevant information to ensure annual Group Medical Insurance are renewed in a timely manner.
  • Organize Employee engagement programs after approval by Management is granted i.e. Company Annual Dinner/Gathering, Team-Building, wellness programs, sports activities, etc.
  • Conduct introduction briefings to new joiner together with Department Managers as part of On-boarding / Induction Program.
  • Assist in Employees briefing on new / amended HR, Admin and IT policies and procedures.
  • Conduct briefing on performance assessment process and schedule.  Ensure assessments are carried out in the middle and end of the year according to schedules.
  • Consolidate all Employees’ KPIs submission and ensure completeness.
  • Carry out any other tasks that are assigned by the Management from time to time.

Requirements :

•    Bachelor’s Degree in Human Resource Management or the equivalent
•    Minimum 5 years’ experience in the similar capacity
•    Experience in fintech / financial / technology industry is an added advantage
•    Knowledge and experience in Microsoft Office applications  
•    Experience in payroll system particularly QuickPay (HR2000 system)
•    Proficient in Mandarin is an added advantage
•    Knowledge of laws and standard practices pertaining to labour and employment set by relevant authorities / agencies particularly Employment Act, Industrial Relations Act, Income Tax Act (relevant to Employees), EPF Act, SOCSO Act, Workmen Compensation Act.
